Halloween Party Planning Checklist: Free Printable Week-by-Week Countdown
I’ve thrown Halloween parties for a decade, and I can tell you exactly where they go wrong: not the decorations, not the food — the timing. Everything happens the week of the party, everything collides, and the host spends October 30th panic-buying dry ice at full price. A week-by-week countdown checklist fixes all of that. Do a little each week, and party day feels calm instead of chaotic.
Below is the full printable planner: four weeks of checklists plus day-before and party-day runsheets, all written out so you can print this page and work from it. It’s free — the designed bundle is linked at the end.
How to Use This Checklist
Start four weeks out if you can — but honestly, start wherever you are. Each week’s list assumes the previous weeks happened; if you’re starting late, fold the missed tasks into this week and cut anything marked optional.

4 Weeks Out: The Big Decisions
This is the thinking week. No shopping yet — just decisions.
- [ ] Pick the date and time. A Friday or Saturday night party the weekend before Halloween often draws a bigger crowd than Halloween night itself.
- [ ] Set the guest list and headcount. This number drives your food, drink, and favor math. Overestimate by 10%.
- [ ] Choose a theme (optional): haunted house, witch’s lair, monster mash, or classic orange-and-black. The theme makes later decisions faster.
- [ ] Set the budget. Write down one number. Every “oh, just one more thing” purchase gets measured against it.
- [ ] Send save-the-dates. A group text works; a digital invite works better.
- [ ] Decide: potluck, catered, or DIY food? Potluck saves money; assign categories (appetizer, dessert, drinks) so you don’t get nine bowls of chips.
3 Weeks Out: Shopping & Prep
Order online now — Halloween supplies sell out in the last ten days of October.
- [ ] Order decorations — lights, backdrops, tableware, balloons. Buy 20% more than you think.
- [ ] Buy or plan costumes for the household. (The host in a great costume sets the tone.)
- [ ] Plan the menu — write the actual dishes, not “snacks??”. Finger food beats sit-down for parties.
- [ ] Plan the drinks: one signature punch, plus beer/soda/water basics. The punch bowl is also decor — make it dramatic.
- [ ] Buy non-perishables: candy for games and favors, paper goods, cups, napkins, candles, batteries for LED lights.
- [ ] Plan 2–3 party games and print what they need now.
2 Weeks Out: The Details
- [ ] Finalize the food quantities using your confirmed headcount. Plan for each guest to eat about 6–8 appetizer bites over an evening.
- [ ] Buy pumpkins for carving and decor, plus apples, cheese, anything that keeps two weeks.
- [ ] Test the “production” items: carve a test pumpkin to time yourself, do a trial run of the punch recipe.
- [ ] Plan the music playlist. Start it early — a thin playlist on repeat deflates a room fast.
- [ ] Prep the favor bags or treat toppers — assemble them now, not on party day.
- [ ] Deep-clean the party zones — the rooms guests will see. Close off the rest.
1 Week Out: The Home Stretch
- [ ] Buy short-fuse perishables: fresh fruit, bread, dairy. (Ice comes the day before.)
- [ ] Carve or decorate pumpkins. Carved pumpkins last about a week — this is the window.
- [ ] Set up early decorations: outdoor lights, window silhouettes, anything weatherproof.
- [ ] Confirm any help: the friend on ice duty, the neighbor lending chairs. Confirm in writing.
- [ ] Prep make-ahead food: anything freezable or fridge-stable — dips, baked goods.
- [ ] Print the runsheets below and stick them on the fridge. Party day runs on paper, not memory.
Day Before: The Calm-Before Checklist
- [ ] Buy ice. More than you think. Then buy one more bag.
- [ ] Finish decorating indoors. Table settings, centerpieces, the candy station.
- [ ] Prep all cold food; stage serving dishes with sticky notes saying what goes in each.
- [ ] Set up the drink station — everything except the ice and the fresh garnishes.
- [ ] Do a lighting check after dark. Walk through as a guest would and fix the lighting.
- [ ] Set out trash cans and recycling where guests can actually find them. Labeled.
- [ ] Get some sleep. Nothing you do tonight will ruin the party — but an exhausted host tomorrow might.

Mistakes I Made So You Don’t Have To
- Buying ice too early. It melts, and then you’re buying it again. Day-before. Always.
- No trash plan. My second Halloween party ended with guests balancing plates on the porch railing because I’d hidden the trash can “for aesthetics.” Visible, labeled bins. Every time.
- Too many games, too little hang time. Two or three scheduled games is plenty. The rest of the night, people just want to talk in costumes with a drink.
- Forgetting the host eats too. Put aside a plate for yourself before guests arrive. You will not get another chance.
